Digital Schools is the program used to monitor all employee absences and extra work hours including
substitute hours/days. All employees have 24/7 access to view their own leave account, update their
emergency contacts and review their extra hours by payroll month.
The person entering these hours/absences will be the site administrative assistant.
1. All substitutes are to sign in on the “Substitute Sign In Log” at the school office each day that they sub.
2. The secretary will verify absences daily, to make sure that they are the same on Digital Schools and
SmartFindExpress, not only the employee, the sub’s name, date but also how long the employee was out
and how long the sub worked.
3.All substitute pay from the 1st of the month to the last working day of the month is paid
on the 15th of the following month (or the last working day prior to that when the 15th falls on a weekend or holiday) via the Supplemental Payroll.
For example, January 1st thru January 31st hours get paid on February 15th, and so forth.
4. All Paychecks and Auto Deposit Vouchers will be mailed one day before payday to the address on file.
Avoid making a trip to the bank and submit your Automatic Payroll Deposit Form; MUST include a voided check.
